Retention & Lost Customer Campaigns
Bring Lost customers back. Protect At-Risk relationships. Earn the next qualifying service visit.

The Retention Opportunity
You Earned the Customer. Now Earn the Next Visit.
A vehicle sale or a past service visit doesn't guarantee the next appointment. Industry research shows dealerships losing ground—even with newer vehicles. Retention campaigns give familiar customers a timely, relevant reason to choose your service department again.

Don't wait for a once-retained customer to become Lost. Stay visible between visits and reach At-Risk customers before the relationship slips away.
12%
Service Visits Lost to Independent Competitors
Since 2018, U.S. dealerships have lost 12% of service visits to independent competitors. Those appointments represent customer relationships your dealership has to work to keep.
Retention is not just a reminder. It's a reason to return.
The Next Visit Is Being Won Somewhere.
General independent repair shops hold a larger share of total service visits than dealerships. Recover viable Lost customers and protect Active relationships to strengthen your Service Effectiveness.
Industry research; not individual dealership results or promised campaign outcomes. The 12% figure describes service-visit loss since 2018, not a percentage-point change. Visit-share figures cover the two named provider categories, not the entire market. Industry retention measures are separate from OEM-specific Qualified RO criteria.
Bring the Relationship Back to Your Service Drive.
Your DMS is the starting point. Clean the data, identify the customers who need attention, and deliver relevant offers through coordinated FlightPath outreach—so the next service decision has a reason to go your way.
Positioning
A Past Relationship. A Smarter Reason to Return.
Retention starts with a relationship your dealership has already earned. These customers bought a vehicle or visited your service department, and their records live in your DMS. The opportunity is to keep Active customers engaged and bring Lost customers back—not to treat them as cold conquest prospects.
Dealerwing uses data hygiene and identity resolution to confirm who still owns the vehicle and lives in your area. We then build targeted campaigns around each customer's service status and your OEM's retention criteria, helping improve retention and penetration of the vehicles operating in your market.

Use cases
The Right Message for Each Relationship
Every audience already has a sales or service history with your dealership. Its next step should shape the campaign.

Lost Customers
Reconnect after a year without a service visit.
They serviced with you before but stopped returning. Validate the relationship today, then use a relevant service offer to invite them back.

Sold Not Serviced
Earn the first service visit after the sale.
They bought from you within the last year and have never serviced with you. Introduce the service team, show the value of dealership maintenance and make the first appointment easy.

Defected Customers
Rebuild the service connection to a past purchase.
They bought from you over a year ago and have not had a service visit. Confirm ownership and location, then give them a clear reason to choose your service drive.

At-Risk Customers
Act before a retained relationship becomes Lost.
These customers are still retained but need a return visit within 90 days to avoid Lost status. Timely, coordinated reminders focus on the next qualifying visit.

Retained Customers
Stay top of mind between service visits.
One visit in the last year is a relationship worth protecting. Relevant maintenance messaging helps keep the next appointment with your dealership.

Loyal Customers
Keep a strong service habit going.
Two or more visits in the last year signal a stronger relationship. Keep communication useful, personal and timely so your dealership remains their service home.
Deep dive
Know the Relationship. Protect the Next Visit.
Customer status tells you who needs attention. Clean data tells you who is still a viable target. OEM criteria tell you what counts.
One Customer File. Two Groups. Six Opportunities.
Lost customers have a past sales or service relationship but no service visit in the last year. Sold Not Serviced is the early exception: a recent buyer who has never visited service. Some OEMs call these customers Inactive. Active customers have done business with the dealership within the last year; their service activity distinguishes Retained, Loyal and At-Risk relationships.
Lost / Inactive
A past relationship. No service visit in the last year.

Serviced with the dealership before, but has not had a service visit in the last year.

Turn the sale into the first service relationship.
Defected

Reconnect the vehicle purchase to your service drive.

Business with the dealership within the last year.
Retained
One service visit in the last year.
Stay top of mind and earn the next visit.
Loyal
Two or more service visits in the last year.
Keep a strong relationship moving forward.

Currently retained, but will become Lost without a return visit within 90 days.
Reach out before the retention window closes.

Stay visible between visits. A timely return helps turn a retained customer into a loyal one.

The Customer Is Known. Their Data Still Needs Work.
A DMS record proves a past relationship—not current ownership or a current address. Customers sell vehicles, move and change contact details. Data hygiene and identity resolution connect the record to the customer and vehicle as they are today.
Dealerwing verifies whether the customer still owns the vehicle, still lives in your service area and can be reached. Viable customers move into the campaign; stale, duplicate or unsupported records are set aside so your budget goes toward a real return opportunity.

Service Effectiveness
Bring Lost Customers Back. Grow Service Effectiveness.
Service Effectiveness measures how much of the vehicle market your dealership is servicing. Lost customers already have a relationship with your store, but their service business is going elsewhere. Bringing them back helps your dealership capture more of the units in operation—UIO—in your market.
Dealerwing identifies viable Lost customers around your store, validates current ownership and location, and builds a focused campaign within your service radius. Relevant offers give those customers a reason to return, turning familiar relationships into a stronger share of your service market.

Qualified ROs
Promote the Services That Drive Qualified ROs.
Not every repair order is a Qualified RO. Your OEM defines which services and visits count toward retention, so the offer needs to support those requirements—not simply generate any transaction.
Dealerwing promotes service offers designed to bring Qualified ROs into your service department. A clear, relevant maintenance offer—like the Oil & Filter Change shown here—gives customers a reason to book, with the service selection aligned to your manufacturer's qualification criteria.
One FlightPath. Every Channel. One Conversation.
A validated customer file is the foundation, not the finished campaign. Every retention campaign runs on FlightPath, Dealerwing's monthly campaign cycle that spans every channel. Direct mail, email, SMS text messaging, social media advertising and BDC follow-up are coordinated from one validated customer list, so each touch reinforces the message and gives every segment a convenient way to respond.
The objective is a renewed service relationship built around the same audience, offer and dealership goal — sequenced by FlightPath instead of four vendors working separately, and reviewed each month to optimize the next cycle.

FAQ
Common questions
What is the difference between a Lost customer and a Conquest customer?
A Lost customer has a prior sales or service relationship with your dealership and is in your DMS. A Conquest customer has never done business with your dealership and is sourced through third-party data. Lost-customer recovery belongs in Retention, not Conquest.
What are the three types of Lost customers?
Service customers who stopped returning have not had a service visit in the last year. Sold Not Serviced customers bought from the dealership within the last year but have never serviced there. Defected customers bought over a year ago and have not had a service visit. Some OEMs refer to Lost customers as Inactive.
How do Retained, Loyal and At-Risk customers differ?
Retained customers have one service visit in the last year; Loyal customers have two or more. At-Risk customers are currently retained but will become Lost unless they return within 90 days. These are Active-customer segments, with qualifying visits determined by OEM criteria.
What is a Qualified RO?
A Qualified RO is a repair order that meets your OEM’s retention criteria. Not every RO qualifies. Dealerwing promotes services designed to drive Qualified ROs, with offers aligned to the applicable manufacturer’s rules.
What is UIO and why does it matter?
UIO means units in operation. Service Effectiveness reflects how much of that vehicle market your dealership services. Bringing viable Lost customers back helps capture more of your service market.
Why validate a customer who is already in our DMS?
A past sale or service visit does not prove the customer still owns the vehicle or lives nearby. Data hygiene and identity resolution check ownership, location and contact details before outreach.
Can this work alongside our current CRM reminders?
Yes. Dealerwing adds validated customer segmentation and coordinated FlightPath campaigns alongside existing reminders, with attention to each OEM's retention requirements.
